We do not charge any administration or hidden fees, and we strictly comply with the Tenant Fees Act 2019, which governs what can and cannot be charged to tenants in England.
Fees for Tenants
Tenants will only ever be asked to pay fees that are permitted by law. These include:
At the start of the application process, a holding deposit equivalent to one week’s rent is payable in order to reserve the property while referencing and tenancy preparations are completed. This payment is deductible from the first month’s rent if the tenancy proceeds.
The first month’s rent is payable in advance and must be cleared in full prior to the tenancy commencing.
A tenancy deposit is also required before moving in, which is refundable and held in a government-approved deposit protection scheme. This amount is capped at five weeks’ rent in line with legal requirements.
Should a tenant request to make changes to an existing tenancy—such as a change of sharer or amending terms of the agreement—a fixed charge of £50 including VAT may be applied. This covers the cost of drawing up a new agreement and any associated administrative work.
In the event that a tenant wishes to terminate the tenancy early, they may be responsible for the landlord’s reasonable costs in re-letting the property. In such cases, a fee of £30 will be charged in addition to any rent lost by the landlord due to the early departure, provided this is agreed in writing and forms part of the surrender process.
If rent is paid more than 14 days late, interest may be applied at a rate of 3% above the Bank of England base rate, calculated from the date the rent was due until payment is received.
Should the tenant lose any keys or security devices provided at the start of the tenancy, they will be liable for the actual cost of replacement. Evidence of the cost will be provided, and no additional charges will be added.
Tenants are also responsible for paying for utilities, council tax, broadband or television services, and any other charges not included in the rent, as set out in the tenancy agreement.
Heritage Property Agents does not charge any additional administration, referencing, or move-in fees to tenants.
Fees for Landlords
Our charges to landlords are clear, fixed, and communicated in advance.
For each new tenancy, we prepare a legally binding Tenancy Agreement at a cost of £150 This document outlines the terms of the tenancy in accordance with legal standards and best practices.
We carry out referencing checks on all adult tenants over the age of 18. This includes credit history, employment status, and previous landlord references. The cost for each reference is £50 per applicant
We also carry out Right to Rent checks, as required by law, for each adult occupant. This service is charged at £15 per person
Once the tenancy agreement is signed and the deposit is received, we register the deposit with a government-approved scheme and provide the Prescribed Information to all parties. This Deposit Registration Fee is charged at £75
If a fixed-term tenancy is extended or renewed, a Tenancy Renewal Fee of £75 is payable to cover the negotiation, documentation, and preparation of the new agreement.
In cases where we are instructed on a Let Only or Rent Collection basis, and a deposit dispute arises at the end of a tenancy, we offer a Deposit Dispute Administration Service at a charge of £100 This includes reviewing documentation, compiling evidence, and submitting the dispute to the relevant deposit scheme.
If an additional mid-term property inspection or visit is required outside of our standard cycle, we charge a fee of £75 per visit.
Where a landlord requests that we serve formal legal notices—such as a Section 21 or Section 8 notice—we apply a fixed charge of £100 for the preparation and delivery of such notices.
If replacement or duplicate keys are required for any reason, we can arrange for these to be cut and supplied. The landlord will be charged the actual cost of cutting the keys, plus a £5 administration fee
